Digital menu boards vs QR menus: we sell one of these two, so here is the honest comparison

A digital menu board is a restaurant-owned screen showing the menu to everyone in the room, continuously, with no action required from the guest. A QR menu is a printed code that sends each guest’s own phone to a web page. They are not substitutes. One broadcasts a small amount of information to a whole queue; the other delivers an unlimited amount to each person who chooses to pull it.

Bottom line: if guests decide what to order while standing in a line, you are buying a board and the QR menu is your depth layer. If guests decide while seated with time and a phone in hand, you are buying a QR menu and a board is decoration.
Four things people call “electronic menus”
The keyword cluster around this topic is a mess because four different products share the same vocabulary. Separating them is most of the buying decision.

That last row matters more than it looks. Calling any web page behind a QR code “QR ordering” confuses a delivery mechanism with an ordering application, and calling a kiosk a “digital menu board” imports kiosk productivity research into a decision it has nothing to do with. What three digital menu boards actually cost
Here is a reproducible three-screen counter build with every line sourced. Fixed prices are published examples checked 30 August 2026; installation stays a range because a national restaurant installation price does not exist.

The electricity line is worth showing because vendors never do. Samsung publishes 154 W in on-mode and 0.5 W asleep for the QB55C. Run for 16 hours and sleep for eight, that is 900.8 kWh per screen per year. The US Energy Information Administration reports a 2025 US commercial electricity price of 13.41 cents per kWh, which puts each screen at $120.80 a year and three at $362.40.
What is deliberately not in that table: taxes, shipping, permits, new electrical circuits, wall reinforcement, broadband, menu design labour and staff update time. Those are site-specific. Leaving them out is more honest than inventing an average for them, so read the total as a floor rather than a budget.
Two levers move it a lot. Swapping the $8 signage plan for a $20-per-screen tier adds $432 a year on three screens. Adding dedicated media players at around $336 each adds roughly $1,000 in capital before anything is mounted.
What the same menu costs behind a QR code
The QR side of the comparison has almost no venue electronics in it, which is the whole reason the numbers diverge so violently.

The honest framing of that gap: $17 buys menu availability, not menu visibility. Nothing about a free hosted page puts your specials in front of somebody who has not taken their phone out.
What a screen does that a QR menu cannot
A QR menu cannot put the menu into a waiting guest’s line of sight without the guest acting first. The code can be visible; the menu stays behind a scan, an unlock and a page load. A board shows items, prices and the current daypart to everybody in the queue simultaneously, including the guest whose hands are full.
It also cannot create a shared view. Three people deciding together at a counter read the same board and talk about it. Three people with three phones have three private sessions and one conversation that keeps stalling.
A QR menu is a poor drive-through menu for the obvious reason: the driver is driving. The FDA’s own regulation treats drive-through menu boards as menu boards, which tells you what the default ordering surface out there is meant to be.
And a board makes dayparting visible to everyone at once. Switching a signage playlist from breakfast to lunch changes what the room sees at 11am. A web menu can be time-aware too, but nobody sees the change until they open it.
What a QR menu does that a screen cannot
Depth. A phone gives every guest a long scrollable surface for full descriptions, ingredient and allergen notes, multiple photos per dish and a language of their choosing, without making the overhead board illegibly dense. Toast’s blind survey of 850 US adults found 66% of respondents prefer menus that include photos of the dishes, rising to 77% among 18-24s. You cannot put photos of every dish on a board without destroying the readability of the prices.
Per-guest language is the cleanest win. A board handles a second language by rotating slides or dedicating a screen, which costs shared attention either way. A web menu just renders in whatever the guest picked, which is why multilingual menu demand tends to push venues toward phones regardless of what hangs above the counter.
Then there is ordering. A menu board takes no orders by itself, ever. A QR destination can carry the guest into ordering and payment if the software behind it does that, which is a property of the destination rather than of the code. The calorie rule that decides it for chains
If you operate a chain of 20 or more locations under the same name offering substantially the same items, the format question has a legal component. FDA menu labeling requirements apply, and the regulation is specific about where the numbers go.
21 CFR 101.11 states that “the number of calories must be listed adjacent to the name or the price of the associated standard menu item,” in a type size no smaller than that item’s name or price. Its definition of a menu is technology-neutral: the primary writing a customer makes an order selection from, “including, but not limited to… electronic menus; and menus on the Internet,” and menu boards “include those inside a covered establishment as well as drive-through menu boards.”
The practical consequence for a covered chain: you cannot solve a crowded board by moving calories to a QR page. If the board is the primary ordering writing, the disclosures belong on the board. And going all-digital does not make the obligation disappear, because an internet ordering menu can be a covered menu in its own right. Independent single-site restaurants are generally outside the federal rule unless they voluntarily register, but state and local requirements still apply.
Readability sets the item count, not the screen size
There is no standard that says “put seven items on a 55-inch screen.” There are, however, defensible benchmarks for character height, and they are what actually caps your item count.
The US Access Board’s ADA accessibility standards, section 703.5, tie minimum visual-character height to mounting height and viewing distance, measured on the uppercase “I”. For characters mounted between 70 and 120 inches above the floor, the benchmark is 2 inches up to a 15-foot viewing distance, plus 1/8 inch for every foot beyond that. Above 120 inches it starts at 3 inches.

Those are arithmetic applications of the Access Board formula, and the sign provisions were not written specifically for restaurant menu boards, so treat them as a conservative legibility floor rather than as menu law. The same section also calls for conventional (non-script, non-decorative) letterforms, baseline-to-baseline line spacing of 135% to 170% of character height, a non-glare finish, and light-on-dark or dark-on-light contrast.
Run those numbers against a real dining room and the design brief writes itself. A queue whose tail sits 25 feet from the board needs characters over three inches tall, and three inches of character plus line spacing eats a 55-inch screen fast. The right response is fewer visible items, smarter category splits or another panel. It is never shrinking the type until the database fits. Signage vendors commonly recommend five to seven items per panel with ten as a ceiling; that is practitioner guidance rather than a standard, but it lands in the same place the physics does.
Animation deserves the same caution. Dayparting, where the whole relevant menu changes at 11am, is fine. A carousel that hides items which are all available right now forces guests to wait for their slide.

The organising idea is service geometry, not fashion. A counter has a many-people-one-decision-surface problem. A table has a few-people-lots-of-detail problem. Those want different tools.
One caution against over-reading the QR side of that table. Toast’s survey found 81% of respondents preferred a physical menu and only 1% actively preferred QR codes. Toast sells restaurant technology, so treat it as vendor research, but it is a useful correction to the assumption that guests are waiting to be handed a code. The comfortable read of the evidence: guests accept QR readily when it saves them something (ordering, a language, photos, an allergen list) and resent it when it only saves the restaurant printing costs. Running both from one menu
The hybrid is not “buy everything.” It is a split by layer. The board carries the ordering layer: category, item, price, and required calorie disclosures where the FDA rule applies. The QR carries the depth layer: full descriptions, allergens, nutrition, photos, languages and, if you want it, ordering from the phone.
The version of this that fails is the one where the board and the phone are maintained separately, because they drift within a fortnight and staff stop trusting either. The version that works keeps one menu as the source of truth and pushes it to both surfaces, so a price change or a sold-out item is one edit. A buyer’s checklist before you spend
- Where does the furthest guest stand when they decide? Measure it, then apply the character-height table above.
- Do guests decide standing or seated? Standing means a board; seated means a phone.
- Are you a covered chain under the FDA rule? If yes, calorie placement is a design constraint on the board, not an afterthought.
- How many items must be simultaneously visible? Not how many you have, how many need to be on screen at once.
- Is there a power outlet and a network drop where the screen goes, or is that an electrician’s quote?
- Who updates the content on a Friday night, and from what device?
- Does the display have a documented commercial duty rating for your daily hours?
- What breaks the room if it fails? One dead board takes the whole menu down; one dead phone takes down one guest’s.
- How many languages does your room actually speak?
- Does anything on the menu need an allergen note longer than four words? If yes, that content has to live on a phone.
